▼   May 2024 Closing

The residence halls close for the May 2024 term on May 24, 2024. Residents who will not be transitioning to a Summer 2024 assignment will need to conduct an Express Check-Out as USA Housing will not host in-person check-outs or late stays for the May 2024 term.

Express Check-Out packets can be picked up at the USA Housing Office in the Delta Commons during business hours. Return your completed packet and room key within 48 hours of your required move-out date by dropping the packet through the window drop box next to the door of the of the USA Housing Office.

▼   May 2024 to Summer 2024 Transition
All May 2024 residents who have a Summer 2024 assignment will transition to their summer housing on May 24, 2024. Transitioning residents can pick up their summer room key in Stokes Hall on Friday, May 24, from 8am-5pm. Once a resident has finished moving in to their summer housing, they are required to return their May 2024 room key by Tuesday, May 28, to the USA Housing Office.

Spring 2024 CLOSING

We are glad you chose to LIVE ON campus at South! The residence halls close for the spring semester on Friday, May 3, 2024, at 12:00 PM (noon). All residents who are not approved for a Late Stay or May Semester Housing should check out of their spring housing assignment within twelve (12) hours following their last final exam. Students may request a late stay on MyUSAHousing under the 'Requests' menu.

If you are participating in Commencement exercises or have an extenuating circumstance and are not able to vacate by the May 3rd deadline, please complete the Late Stay Request Form in MyUSAHousing as soon as possible.

Meal Plans: Academic Year Meal Plans for students living on campus end at 7:00 PM CST on Thursday, May 2. Any unused Bonus Bucks will expire at 11:59 PM CST on that same day. Please be aware that Bonus Bucks do not roll over from the spring to summer or fall semesters.

Spring 2024 Check-Out Procedures

Please familiarize yourself with the check-out process outlined below to help you have a more successful experience when you do check-out AND avoid any unnecessary charges.

Approximately two weeks before final exams, your Resident Assistant (RA) will contact you to set up a checkout appointment. Residents have the option to schedule an in-person check-out appointment OR an express check-out appointment with their RA.

Be sure to follow the steps below to properly complete the check-out process.

Step 1: Contact your Resident Assistant (RA) or visit your Community Desk to schedule either an in-person check-out appointment OR an express check-out appointment based on your preference. Appointments must be scheduled 24 hours in advance (minimum) of your preferred time to check-out. Appointments scheduled less than 24 hours prior to the student's preferred check-out time will be subject to a $75 improper check-out fee.

▼   In-Person Checkout Appointment Instructions

Step 2: BEFORE your in-person checkout appointment, be sure to complete the items below. If these items have not been completed prior to your scheduled appointment, you will be subject to damage or cleaning check-out charges. 

  • Toilet: The commode must be thoroughly cleaned and disinfected, both inside and out.
  • Bathroom Sink: Sinks must be cleaned.
  • Cabinet/Shelf & Drawers: Shelves and drawers must be wiped off.
  • Floors: The floors must be cleaned. If the floors are dirty or sticky they must be wet-mopped.
  • Closets: All closets must be clean and empty.
  • Door: All flyers and decorations must be removed and locked as you leave.
  • Walls: Posters, nails, tape, and decorations must be removed,
  • Windows: Windows must be clean, closed, and locked. Mini-blinds must be clean and open.
  • Furniture: All furniture must be wiped off and returned to the standard-setting.
  • Trash: All trash must be removed and placed in the dumpster.
  • Remove all personal belongings from your room.

Failure to follow the check-out procedures may result in a $75.00 fee for improper check-out. Moreover, the resident may be assessed fees for room damages or cleanliness.

Step 3: Be in your room at the scheduled time of your in-person check-out appointment. 

  • The RA will arrive at your room at the time of the appointment and will complete a room inspection.
  • Return your room key to your RA

NOTE: Rooms with belongings or trash left at the time of appointment (that do not belong to the remaining resident(s) if applicable) will not be cleared for check-out and the student will be required to reschedule for a later time after these items have been addressed.

Step 4: Continue to monitor your JagMail over the next few days. As roommates may check out at different times, damages may be found after the last person checks out of the room/apartment. Therefore, damage and cleaning charges will not be assessed until after the room/apartment is completely vacant. If a damage or cleaning charge is assessed you will be notified via your JagMail. If you feel that you have been charged for damage for which you are not responsible, you must submit an appeal to the USA Housing Office by clicking here. You have until May 24, 2024, at 12:00 PM (noon) to submit an appeal. 

▼   Express Checkout Appointment Instructions

Step 2: BEFORE your express checkout appointment, visit your Community Desk/Office or see your RA to collect an Express Checkout Form. Be sure to complete the items listed on the Express Checkout Form. If these items have not been completed prior to your scheduled appointment, the student will be subject to checkout charges. Please note that the Express Checkout option does NOT allow for appeals to any charges assessed.

Step 3:

  • If between 8 AM - 8 PM, Monday - Friday, return the completed and signed Express Checkout Form, along with your room key, to your Community Desk/Office
  • If after 8 PM return the completed and signed Express Checkout Form, along with your room key, to the USA Housing Office at the Delta Commons building and place it in the designated key drop slot. The key drop location is on the side of the Delta Commons building closest to Camellia Hall (the same building as the Delta Deli). Look for the signage that will indicate the drop-off location.

Step 4: Your Resident Assistant will visit your room/apartment after you have turned in the Express Checkout Form to conduct a room inspection. 

Continue to monitor your JagMail over the next few days. As roommates may check out at different times, damages may be found after the last person checks out of the room/apartment. Therefore, damage and cleanliness charges will not be assessed until after the room/apartment is completely vacant. If a damage or cleaning charge is assessed you will be notified via your JagMail. If you feel you have been charged for a damage or a fee for which you are not responsible, remember, you will not be able to appeal any charges if you have selected the Express Checkout option.

 


 After Your Check-Out Appointment

After your check-out appointment, your room will be inspected for any potential damages or excessive cleaning needs. If any damages or excessive cleaning needs are noted, you will be informed in writing to your JagMail within ten (10) business days of your check-out appointment. 

Abandoned Property: Personal belongings which are left behind when a student vacates his/her University housing assignment are considered abandoned property and will be removed from University housing rooms/areas and discarded. Abandoned items may be discarded as early as the Monday following graduation. Abandoned items may be subject to a minimum removal fee of $250. If you think you have forgotten personal property in your room after you have left campus, you should contact the USA Housing Office immediately, to see if the items are still in the room. If the personal property is still in the room, you will be permitted to pick up your personal property.

The USA Housing Office/USA Housing will not be responsible for any discarded or abandoned items.

Lost/Unreturned Keys: A $75.00 lock change charge may be assessed if the room key is not returned at check-out.
